01Start with your guest requirements
Describe the service areas, expected journey types and approximate booking pattern. Airport arrivals, hotel transfers, meeting days and domestic routes can be discussed within a defined operating scope. Specific availability remains subject to confirmation.
02Create a useful booking handoff
For each movement, provide the date, time, pickup and destination, passengers and luggage. Include flight details where relevant and identify the guest contact arrangements. Agree which person at the agency or hotel can approve changes.
03Confirm commercial and guest facing details
Discuss quotation, invoicing, settlement, cancellation and communication procedures before referring bookings. Commission, credit terms, special rates, a booking portal or branded guest support are not assumed features; they require a specific agreement.
04Share only the information needed
Provide the details necessary to assess and deliver the journey through the agreed channel. Make the relevant privacy information available to guests and clarify responsibilities for passenger information within the partnership arrangement.
